Reports to: The School Director Summary: The part-time Executive Assistant to the School Director and Board of Directors is responsible for developing and providing comprehensive organizational, administrative, and project support to the School Director, Board of Directors, and Leadership Team. This dynamic position requires the ability to anticipate needs, think critically, and offer solutions to problems with a high level of professionalism and confidentiality.  Main responsibilities:
  • Arrange and handle all logistics for Board meetings and events. Schedule meetings; draft agendas; develop, compile, and distribute agendas and presentation materials; prepare and distribute minutes of the various Board committee meetings.  Adhere to the applicable rules and regulations contained in the Board Policy Manual.
  • Complete a broad variety of administrative tasks to assist the School Director with effectively leading the school. This includes but is not limited to assisting with special projects; designing and producing complex documents, reports, and presentations; collecting and preparing information for meetings with staff and outside agencies; composing and preparing correspondence; maintaining contact lists; making travel arrangements.
  • Work closely with the School Director to keep them informed of upcoming commitments and responsibilities. Anticipate the School Director’s needs in advance of meetings, conferences, etc.
  • Assist with coordinating and managing Board meetings, Leadership team meetings, and other events as needed.
  • Assist in the selection and management of vendors and purchasing of equipment, services, and supplies necessary for the school’s operations.
  • Screen calls to the School Director and responds to inquiries appropriately.
  • Process mail addressed to the School Director, maintaining a high level of confidentiality.
  • Build and maintain relationships with internal and external stakeholders.
  • Manage other projects/duties as may be assigned by the School Director.
  • Associate’s or Bachelor's degree in Business Administration, or any other relevant degree.
  • 3 years of significant executive support experience, including supporting C-level executives. Nonprofit Board experience is highly preferred.
  • Familiar with international education with some understanding of the expatriate community.
  • Proven experience as an executive assistant or other relevant administrative support experience.
  • Expert proficiency with Microsoft Office and desktop publishing software; ability to design and edit graphic presentations and materials.
  • Exceptional organizational skills and impeccable attention to detail.
  • A high degree of professionalism in dealing with diverse groups of people, including Board members, leadership, and staff.
  • Must be able to meet deadlines in a fast-paced quickly changing environment.
  • A proactive approach to problem-solving with strong decision-making skills.
  • Advanced verbal and written communications skills.
  • Ability to maintain a high level of integrity and discretion in handling confidential and sensitive information.
