Overview

International Interiors Ltd. is an established interior finishes and construction company located in Barataria, San Juan. We are looking for a professional administrative assistant to perform clerical duties and data entry. This role will also entail providing support to our managers and employees, assisting in daily office needs and managing our company’s general administrative activities.

 

What does an Administrative Assistant do?

  • Answer and direct phone calls
  • Prepare purchase orders, cheques and delivery notices
  • Organize and schedule appointments
  • Plan meetings and take detailed minutes
  • Write and distribute emails, correspondence memos, letters, faxes and forms
  • Assist in the preparation of regularly scheduled reports
  • Develop and maintain a filing system
  • Update and maintain office policies and procedures
  • Order office supplies and research new deals and suppliers
  • Maintain contact lists
  • Provide general support to office visitors
  • Act as the point of contact for internal and external clients
  • Handle requests and queries from managers
  • Perform related duties and responsibilities as assigned

 

Requirements

  • At least 3 years experience as an administrative assistant or office admin assistant
  • Age requirement of 28-40 years old
  • Knowledge of office management systems and procedures
  • Working knowledge of office equipment, like printers and fax machines
  • Proficiency in MS Office (MS Word, MS Excel. MS Powerpoint)
  • Proficiency working with and managing Google Calendar and Google Drive.
  • Excellent time management skills and the ability to prioritize work.
  • Attention to detail and problem solving skills
  • Excellent written and verbal communication skills
  • Knowledge of proper grammar, spelling and punctuation
  • Strong organizational skills with the ability to multitask
  • Five (5) CXC / GCE O’ Level subjects including English Language and Mathematics
  • Additional administrative assistant certification or other relevant qualification preferred
