ADMINISTRATIVE ASSISTANT

 

Description:

The Administrative Assistant is responsible for providing administrative and support services to ensure effective and efficient operations.

 

 

RESPONSIBILITIES

  1. Provide receptionist duties.
  2. Answer incoming calls to the office efficiently and professionally.
  3. Open and date stamp and log all general correspondence/incoming mail
  4. Log all outgoing mail and cheques and ensure delivery is logged and updated.
  5. Responsible for distribution of stationery and replenishments.
  6. Handle all retail sales in an efficient manner.
  7. Process all orders received efficiently as required.
  8. Create and Maintain Employee File.
  9. Update Employee Database.
  10. Prepare Employee Documents in conjunction with Manager.
  11. Liaise with brokers for all incoming and outgoing shipments.
  12. Coordinate with drivers as required with Manager.
  13. Prepare relevant reports for Administration, HR and Logistics.
  14. Maintain and keep up to date Customs Returns.
  15. Maintain the general filing system and file all correspondence.
  16. Assist in the planning and preparation of meetings, conference, and virtual calls.
  17. Assist in the maintenance of adequate inventory of office supplies with Administrative Manager.
  18. Support Directors, Managers and Leaders as required.
  19. Adhere to all company policies.
  20. Provide all HR, Administrative and Logistics support.
  21. Perform any other duties as assigned by Management.

 

 

SKILL REQUIREMENTS:

 

Qualification & Experience

  • Five (5) O Level’s inclusive of Mathematics and English Language.
  • Diploma in Human Resources and Supply Chain will be an asset.
  • Knowledge of imports and exports will be an asset.
  • Certificate in Customer Service, Administration or Office Procedures will be an asset.
  • Certificate in Peachtree Accounting
  • Computer Literate – Proficient in Microsoft Office Suite with particular emphasis in Word, Excel, and Outlook.
  • A minimum of 2-3 years’ experience in a similar environment
