Administrative Assistant – Ecoimpact


This position is geared towards the overall administrative functions at Ecoimpact Co. Ltd. Essential duties include the overseeing of all administrative tasks, assisting the General Manager with daily activities, coordination of monthly shipments, following up with supplier/customer payments and assisting the collections team to secure waste vegetable oil from suppliers on a daily basis.



This position reports to the General Manager directly.



  1. All administrative duties including but not limited to, answering of telephones, data entry, invoice generation, supplier follow up, monitoring of office inventory, ordering supplies, arranging meetings as needed, attendance and time off tracking, invoice tracking and reporting as needed.
  2. Contacting existing suppliers to schedule collection of used vegetable oil daily and coordinating collection based on the collections team routes.
  3. Contacting new suppliers to increase supplier database and collection totals.
  4. Coordinating with shipping service providers to obtain schedules for loading and export of processed used vegetable oil, and work with Management to select the ideal loading times to meet our monthly sale requirements.
  5. Preparation of export documents and mailing of such to buyers.
  6. Accounting and tracking of invoices received at Ecoimpact and ensuring that they are entered in the invoice book and submitted to Accounts Payable for processing and payment. Liaising with Accounts Payable to ensure suppliers are paid in a timely manner.



The Administrative Assistant will perform other duties as assigned by the General Manager that may be deemed necessary for the effective functioning of the Department. Such duties may include, but are not limited to:

  1. Minor tasks relating to the administrative duties at Ecoimpact.
  2. Creating presentations for business development.
  3. Checking of compound and reporting defects to be repaired.
  4. HSE Toolbox meeting coordination


  1. Completion of Secondary School
  2. Ability to read and write and understand instructions



  1. 5 (O’Level) Ordinary Level Passes
  2. Knowledge in Excel, Word, Powerpoint and Data Base.
  3. Pleasant Disposition and well mannered
  4. Ability to communicate well
  5. Team Player
  6. Previous Experience in an administration Environment



1.    2-3 years’ experience in an administration position.

2.    Ability to multitask well

3.    Comprehensive knowledge of the geography of Trinidad and Tobago
