JOB SUMMARY

This position is geared towards the overall administrative functions at Ecoimpact Co. Ltd. Essential duties include the overseeing of all administrative tasks, assisting the Managing Director and Operations Manager in Ecoimpact day to day activities, following up with supplier/customer payments and assisting the collections team to secure waste vegetable oil from suppliers daily.

 

REPORTING RELATIONSHIPS

This position reports to the Operations Manager directly.

 

DUTIES & ESSENTIAL JOB FUNCTIONS

  1. All administrative duties including but not limited to, answering of telephones, data entry, invoice generation, supplier follow up, monitoring of office inventory, ordering supplies, arranging meetings as needed, attendance tracking, vacation tracking, invoice tracking and reporting as needed.
  2. Contacting existing suppliers to schedule collection of used vegetable oil daily and coordinating collection based on the collections team routes.
  3. Contacting new suppliers to increase supplier database and collection totals.
  4. Accounting and tracking of invoices received at Ecoimpact and making sure they are entered in invoice book and sent to accounts for processing and payment. Tracking of invoices to make sure suppliers are paid in a timely manner.

 

OTHER FUNCTIONS AND RESPONSIBILITIES

The Administrative Assistant will perform other duties as assigned by the Managing Director and Operations Manager that may be deemed necessary for the effective functioning of the Department. Such duties may include, but are not limited to:-

  1. Minor tasks related to the administrative duties at Ecoimpact.
  2. Creating presentations for business development.
  3. Checking of compound and reporting defects to be repaired.
  4. HSE Toolbox meeting coordination

 

MINIMUM QUALIFICATIONS

  1. Completion of Secondary School
  2. Ability to read and write and understand instructions

 

REQUIRED QUALIFICATIONS

  1. 5 (O’Level) Ordinary Level Passes
  2. Knowledge in Excel, Word, PowerPoint and Data Base.
  3. Pleasant Disposition and well mannered
  4. Ability to communicate well
  5. Team Player
  6. Previous Experience in an administration Environment

 

PREFERRED QUALIFICATIONS

1.    2-3 years’ experience in an administration position.

2.    Ability to multitask well

3.    Comprehensive knowledge of the geography of Trinidad and Tobago

  1. Certificate of Character
  2. Word, Excel, PowerPoint and Data Base training
