Administrative Assistant – Furniture Division


To provide a high-level of administrative support and assistance to the department. To facilitate efficient operation of the department, through the preparation of reports, handling information requests and performing clerical functions such as preparing correspondence, receiving visitors and scheduling meetings.

Principal Duties and Responsibilities


  • Provide Support to Manager / Coordinator. 
  • Must be knowledgeable of the company’s product lines 
  • Provide clerical and administrative support to the department. 
  • Answers phone calls & schedules departmental sales meetings 
  • Liaise with customers and suppliers locally and internationally in a highly professional manner at all times  
  • Follow up on quotes, purchase orders and queries 
  • Maintain and update logs & reports. 
  • Updating new and existing customer database. 
  • Maintain and update electronic filing of suppliers’ quotations, order acknowledgement, purchase orders and company quotations. 
  • Assist Managers/Coordinators with developing / distribution of marketing materials for product promotions (specials, flyers, brochures) to customers. 
  • Research and cross reference specification of products  
  • Schedule appointments for Manager/ Coordinator.  
  • Record minutes of meetings. 
  • Generate Quotations and product costings and seek approval from management. 
  • Preparation of Quotation and other relevant documentation required for purchasing log. 
  • Assists with product analysis to meet client’s requirements. 
  • Preparation of Departments monthly reports. 
  • Assisting other departments from time to time on projects. 
  • Perform any other related duties as required. 
  • Meet and execute KEY PERFORMANCE INDICATORS (KPI’s) as set out in the Department.

Qualifications and Experience

  • A minimum of five (5) CXC subjects of which MUST include Mathematics, English. 
  • Two (2) years’ work experience in industrial, manufacturing or construction industry will be an asset. 
  • A minimum of two (2) years’ experience in an administrative position will be considered an asset. 
  • A Bachelor’s degree in Business Management will be considered an asset. 
  • Proficiency with AutoCAD will be considered an asset. 
  • Must be proficient in Microsoft Office 365 applications. 
  • Professionalism in all interactions as it relates to the operations of the Company, and interactions with other members of staff as well as external parties. 
  • Ability to use initiative and prioritize. 
  • Must maintain the confidentiality of all information.
