Executive Assistant

(3 Year Fixed Term Contract)

 

The Job: The purpose of the job is to assist the Executive Director in the efficient and effective discharge of his/her responsibilities through providing key support and acting as a liaison among the office of the Executive Director and internal and external constituents. The job plays a crucial role in ensuring the smooth operation of the Executive Director’s office by managing schedules, coordinating meetings, handling correspondence, and assisting with various administrative tasks.   

The primary responsibilities would include:

  • Renders administrative assistance to the Executive Director
  • Manages the calendar of the Executive Director including scheduling meetings, events and appointments, booking venues, arranging catering, and preparing materials. 
  • Handles special projects which fall under the Executive Director’s office
  • Prepares and edits correspondence, reports, communications, presentations and other documents as required
  • Liaises with students, staff and the public in resolving administrative queries 
  • Serves as the recording administrator as required taking minutes; tracking those responsible for various tasks and identifies deadlines, then ensures the minutes are distributed in a timely manner
  • Organizes information received or produced by the management team
  • Establishes and maintain office systems including data management and filing
  • Makes travel arrangements for the Executive Director, including booking flights, accommodations, and transportation.
  • Prepares detailed itineraries and ensures all travel plans align with business objectives.
  • Answers, screens, places telephone calls, takes messages and responding to inquiries in a timely and professional manner as required by the Executive Director
  • Receives, processes, organizes and prioritizes incoming correspondence/mail for the Executive Director 
  • Liaises with department heads and other employees and stakeholders to obtain and disseminate information on behalf of the Executive Director
  • Ensures that the Office of the Executive Director always has adequate amounts of relevant office supplies and maintains an appropriate inventory.
  • Handles confidential and sensitive information with the utmost discretion and professionalism. 
  • Maintains confidentiality of executive discussions and decisions
  • Any other duties as deemed necessary.

 

The ideal candidate should possess:

  • Bachelor’s degree in business administration/ management or a related field.
  • 3-5 years of relevant work experience, preferably supporting senior executives or directors 
  • Certification and proficiency in the use of Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
  • Administrative Professional Certificate will be an asset
  • Strong written and verbal communication skills
  • Ability to prioritize and complete varied tasks accurately.  
  • Strong organizational/coordinating skills
  • Good Interpersonal skills
  • Discretion and confidentiality in handling sensitive information
