Receives, screens and directs telephone calls to the Chief Financial Officer and Company Secretary ensuring all messages are taken completely and accurately and that urgent matters receive the necessary attention.
Maintains appointments and schedules on a timely basis.
Responds to highly confidential letters and general correspondence of a routine nature as directed and always ensures complete accuracy.
Prepares and distributes subsidiary packages on a monthly basis, including minutes, accounts and other relevant information by the circulated deadline dates.
Maintains a highly organized filing system based on predetermined classifications ensuring that files are updated within 48 hours of receipt.
Provides secretarial assistance to the Managing Director as required.
Assists Directors and Managers as necessary in acquiring requested information.
Receives, sorts and distributes incoming and outgoing correspondence to the relevant departments.
Receives, sorts and distributes Executive Directors’ Board papers by the circulated deadline dates.
Assists the Chief Financial Officer and Company Secretary in any way necessary to ensure the efficient and smooth running of all reporting departments.
Performs any other related duties.
Monitor and execute the company’s compliance with the statutory regulations set by the Trinidad & Tobago Securities and Exchange Commission and the Trinidad & Tobago Stock Exchange.
Monitor and comply with insider trading policy requirements and director trade requests.
Oversees the successful operation of the assigned Trustee in regulating and disbursing the Group’s shares.
Management and resolution of shareholder queries, shareholder relations and share transactions including the re issue of dividend cheques.
Liaises with law firms and the TTCD to ensure that the matters relating to deceased shareholders are successfully completed where beneficiaries are paid outstanding dues.
Processes cheques related to the fees associated with parent and subsidiary companies; dividends, rent, maintenance etc.
Records and verifies bank statements with issued cheques and maintains proper filing systems of such.
Arranges corporate functions such as Annual General Meetings, Director Training Programs etc.
Periodic review and update of company policies such as those applicable to corporate governance, internal audit, insider trading and disaster preparedness.
Provides administrative support to the company’s auditors during the conduct of internal and external audits.
Administration and balancing of the petty cash tills for Head Office including tills in the various currencies which are maintained.
Ensures the completion and distribution of board meeting documentation including notices, agendas, company mandates and meeting minutes by the stipulated deadlines.
QUALIFICATIONS & EXPERIENCE
Tertiary level training in Business Management or related Social Science discipline and/or relevant experience.
Minimum of one (1) year experience in a similar position.
