Job Title: Executive Assistant Role


Start Date: Immediately

Job Overview: We are seeking a proactive and organized Executive Assistant to support our Executive clients. The ideal candidate will step in to relieve the executive of routine tasks, allowing them to focus on building their businesses. This role involves close proactive management of tasks and ensuring alignment with broader executive and company goals, collaboration with multiple teams, comprehensive calendar and contact management, note-taking and various administrative tasks.

Key Responsibilities:

  • Task Management
    • Coordinating key goals for the executive, tasks needed to achieve those goals and measuring completion of those goals
  • Liaison Duties:
    • Facilitate communication across teams on behalf of the executive to ensure that stakeholders are properly informed, input is reflected in the final product and project timelines are met
  • Calendar Management:
    • Manage and coordinate the executive’s calendar, ensuring they are aware of their schedule and handling conflicting appointments.
    • Prepare daily briefings for the executive, including an overview of the upcoming day’s schedule and priorities.
  • Call and Meeting Preparation:
    • Prepare the executive for upcoming calls by providing background information, tasks to complete, and deadlines to meet.
    • Monitor and participate in calls with potential investors, capturing detailed notes and follow-up action items.
    • Send post-meeting briefs summarizing key points and action items.
  • CRM Management:
    • Update the CRM system with new contacts and ensure workflows are maintained.
    • Manage and update Excel sheets as required, ensuring data accuracy and completeness.
  • Administrative Tasks:
    • Other tasks required by the executive which may include responding to messages on social media, providing updates to teams internally, researching business related topics or presenting to internal teams  messages.


  • Proven experience as an executive assistant or in a similar role.
  • Strong organizational and time-management skills.
  • Excellent communication and interpersonal abilities.
  • Proficiency in Microsoft Office, particularly Excel.
  • Experience with CRM systems is a plus
  • Familiarity with social media platforms, especially LinkedIn.
  • Ability to handle confidential information with discretion.
  • Strong note-taking and follow-up skills.
  • Education:
    • Associate’s degree with relevant experience or a Bachelor’s degree minimum.

Additional Information:

  • Training will be provided as needed to ensure you are well-equipped to perform your duties effectively.

Compensation: $7k / month ($5k during 60 day evaluation period) with potential to increase with sustained outstanding performance.
