JOB TITLE: FACILITIES COORDINATOR 
JOB SUMMARY
The incumbent supports the delivery of all major capital/developmental projects implemented by the NESC-TI to modify, maintain or upgrade existing assets or to create new assets. He/she will take a lead role in the execution of the works related to the Facilities Engineering Department and coordinate activities so as to facilitate an effective and efficient project delivery environment.
ESSENTIAL DUTIES & RESPONSIBILITIES
  1. Develop project estimates/costing and related schedules based on scope of works and Bill of Quantities to be completed
  2. Coordinate and facilitate contractors/supplies site visits and compose responses to contractors/ suppliers
  3. Support the tender process including issue of tender documents, tender opening provision of feedback to tenderers, clarification, etc.
  4. Monitor and provide reports on all contracts issued to contractors / suppliers, including Contractors / Suppliers performance evaluation
  5. Continuously and critically re-visit all work to ensure that specific deadlines for project milestones and workloads etc. are met, that outputs meet required standards for robustness and integrity of the Works, and that there are no cost overruns
  6. Collect and analyse project data and generate regular and accurate updates to ensure that the project team(s) have all required information to progress the delivery schedule
  7. Complete, record, log, store and maintain key project documentation, inclusive of As-built Drawings, QA/QC, and HSE documents, to ensure that all projects have a clear and concise audit trail in accordance with industry best practice
  8. Track internal and external documentation/requests and ensure delivery of outstanding requirements within required timeframes
  9. Prepare payment certificates based upon measured field work and availability of certified documentation
  10. Maintain accurate records of maintenance activities, contracts and warranties.
  11. Prepare Purchase Requisitions for items related to the Department
  12. Produce monthly and ad-hoc progress reports, including analyses of budgets, progress and quality so as to facilitate management decisions and assist with overall project delivery
  13. Assist with completion of PSIP reports, project briefs etc.
  14. Supervise maintenance staff and any associated staff.
  15. Perform all duties in compliance with HSSE & ISO standards as specified by the HSSE & ISO departments.
  16. Monitor KPI’s and Department Objectives
  17. Complete other related duties as directed.
QUALIFICATION & EXPERIENCE
MINIMUM:
AutoCAD
Certificate in Facilities Management
Certificate in Project Management
Certificate in Project Planning, Scheduling and Cost Estimating Skills
ASSET(S)
Degree in Engineering/Management or equivalent with considerable experience in the construction industry or a relevant field
Entry Experienced (2 yrs.) Specialist (5 yrs.) Expert (7 yrs.)

  • Well-developed interpersonal, communication and negotiating capacity, including the effective use of tact and diplomacy with diverse constituencies
  • Sound capacity to analyse complex situations, think conceptually and laterally, and problem-solve in a complex multi-disciplinary environment
  • Maintenance of confidentiality of work-related information and materials
  • Operating knowledge of and experience with personal computers and peripherals, and ability to use office software applications (Microsoft Suite)
  • Ability to use Project Management Software
