PURCHASING ASSISTANT

Job Summary

The incumbent is responsible for assisting the Purchasing Manager and Category Buyers  to implement  all  purchasing  activities  ensuring that all  company purchasing  policies –   quality standards, procurement , operating policies and  code of conduct / ethical  behaviour is  complied with.

 

Duties and Responsibilities

Inventory Control Systems – Database Maintenance.

 

  • Maintenance and update of the Inventory control systems – including price changes, create new items, change in status of products inactive /active, product classification (Category, Brand, Vatable etc).
  • Work with relevant Buyers to determine the correct price point and margin % relevant for new and existing codes, in accordance with the Margin % guidelines.
  • Entering of promotional prices for Special Offers, Trade Deals, Seasonal Campaigns, including relevant time frames for promotional period.
  • Regular database checks to ensure product fields are complete and margins are accurate.
  • Assist Buyers with the review of non-performing skus and new products as part of the Category Management process.
  • Preparation of sales reports for the purchasing manager.
  • Assist with stock taking in the stores.

 

Instore Promotions /   Seasonal Price Specials

  • Work with Buyers to negotiate with suppliers on special prices and deals relevant to the promotional calendar.
  • Work with Buyers and Marketing Assistant on Seasonal campaigns, including special pricing for Promotional Flyers, Rebates etc.
  • Timely preparation of reports for vendors, including Rebates and sales data.
  • Marketing Intelligence – conduct competitive price audits to ensure pricing is competitive and relevant.

Execute programs with the Store Management & Suppliers.

  • Ensure timely communication with other key departments – Operations /stores and Accounts regarding price specials, and promotional campaigns.
  • Timely and accurate provision of list of items with promotional pricing to stores.
  • Develop and maintain vendor partnerships to ensure a relevant, innovative product mix.
  • Liaise with suppliers to request updated product/price lists to ensure that pricing is accurate and up to date.

 

Qualifications and Experience

  • First Degree or Diploma in Business Management.
  • Two (2) years’ experience in the Retail Industry would be an asset.

  • Excellent interpersonal and communication skills.
  • Excellent negotiation skills and attention to detail.
  • Excellent planning, coordination and time management skills.
  • Ability to work in a fast-paced environment.
  • Computer proficiency in Microsoft Office -Microsoft Word, Excel and PowerPoint.
