 Position: Receptionist
Reports To:

Director of Finance

Job Summary: (Scope & Objectives)

The Receptionist is responsible for providing general administrative support in an effective and efficient manner while delivering fast, friendly and competent customer service.

 

  1. A) Main Duties & Responsibilities:
1. Welcomes visitors by greeting them, in person or on the telephone; answering or referring inquiries.
2. Directs visitors by maintaining employee and department directories; giving instructions.
3. Maintains security by following procedures; monitoring logbook; issuing visitor badges.
4. Maintains telecommunication system by following manufacturer’s instructions for house phone and console operation.
5 Maintains safe and clean reception area by complying with procedures, rules, and regulations.
6. Opens, processes, records and date stamps incoming mail and documents delivered to the office daily.
7. Maintain an up to date and accurate filing system – Responsible for the daily input and processing of documents in to the company document control system.
8. Responsible for monitoring inventory of office supplies and requesting order of same to aid in office efficiency.
9. Responsible for upkeep of all documentation (hard and soft) in relation to safety mandate (STOW- Safe To Operate and Work)
10. Assist in the planning and preparation of meetings, conferences and conference telephone calls.
11. Contributes to team effort by accomplishing related results as needed.
12. Accountable for providing consistent and excellent customer service.
13. Coordinate the repair of office equipment.
14. Provide support as required for Directors and other staff.
15. Accountable for managing timed projects within agreed upon estimated timeframes.

  1. C) Education:
1. 5 CXC passes or equivalent inclusive of Mathematics and English.
2. Secretarial studies an asset.

 

  1. D) Experience:
1. 2-3 Years work experience as a Receptionist
