JOB SUMMARY

The role of Sales and Operations Assistant involves liaison with the boat owners/captains and consignee whilst maintaining effective communication internally. This role is crucial and requires a high level of organizational and communication skills to maintain good working relationships with all stakeholders.

 

REPORTING RELATIONSHIPS

This position reports to Sales and Operations Manager & General Manager

 

DUTIES & ESSENTIAL JOB FUNCTIONS

Customer Relations

  • Provide the customer with all relevant information including terms and conditions of our services and regulatory requirements.
  • Explain the grading process.
  • Arrange consignees for operators, making sure they are getting the best deal.
  • Constant communication with the owners of the vessels to determine additional needs such as groceries, ice, mechanical parts, and equipment.
  • Schedule arrivals based on flights and space availability.
  • Track vessel movement – update the vessel movement and send report to the relevant persons.
  • Forecast the number of active boats based on when boats will return to fishing.
  • Provide translation when needed to facilitate all aspects of their interactions amongst stakeholders.
  • Follow up on payments owed.
  • Develop numerous consignee options to make sure fish can be sold even in bad markets.
  • Monitor the communication systems of the vessels to make sure the vessels can communicate when required.

 

Consignees Relations

  • Maintain relationships with active consignees by making sure everyone gets product.
  • Introduce consignees to vessel owners.

 

Vendor Relations

  • Following up with the Purchasing team on essential orders.
  • Order paper and foam for manufacturing boxes.
  • Consult with suppliers to troubleshoot problems with equipment and to order repair parts.
  • Submit request for Purchasing of non-inventory items.
  • Prepare Order of electronics for the vessels

Offloading Plan – Prior to Arrival

  • Provide updates to the relevant persons/department regarding vessel arrivals, information for customs clearance, offloading schedule and customer needs.

 

During Offloading

  • Share updates on the offloading process with the owners to manage expectations, adjust the schedule as required.
  • Ensure that consignees and owners have correct flight and delivery information.
  • Communicate with the captains to ensure their needs are met and explain the grading report.

 

SKILLS AND REQUIREMENTS

  • Must speak Spanish and English fluently and professionally.
  • Must be able to effectively communicate in writing in both languages.
  • Must be a team player.
  • Must be willing to work late hours.
  • Must be familiar with Venezuelan culture and practices.
  • Must have customer service experience in the commercial fishing industry.
  • Must have knowledge of international shipping laws.
  • Must have accounting knowledge.
  • Must have sales experience.
  • Excellent analytic and problem-solving skills.
