The Senior Administrative Assistant is responsible for maintaining accurate and on-time reports relative to the service department’s operation and performs functions to support the service job process, including but not limited to ensuring that all charges related to service jobs are posted properly and closed on a timely basis; orders warranty parts for service repair jobs and handles communications with customers in a professional manner .

 

KEY RESPONSIBILITIES:

1. Service Call SLA Management:

  • Utilizes the Fieldpoint/Alert  Dashboard and manages the flow of scheduling jobs
  • Ensures all jobs are assigned and scheduled within 6 hours of being entered
  • Schedules service jobs to technicians based on their skillset.
  • Ensures all requests for quotes are acknowledged within 30 minutes of receipt and followed up via email.
  • Ensures 100% of quotes are accurately completed and sent to the customer within 3 hours of receipt.
  • Follow-up with technicians regarding any outstanding documents or pending jobs.
  • Completes daily service billing and posting by 4 pm

2.  Apple SLA Achievement:

  • Ensures completion of all Apple jobs within 3 days
  • Ensures 5-day SLA (return to the customer) is achieved for Apple jobs.
  • Achieves the target metrics as per the Apple Report

3.  Alert Usage/ Management:

  • Reviews Work Details in Alert for Technician’s accuracy in grammar and spelling and ensuring the appropriate notes are available.
  • Ensures the status of all jobs are updated in Alert daily real-time (no backlog of jobs)
  • Ensures jobs in the completed category are billed and closed off accordingly
  • Ensures service billing is completed daily and posted by 4 pm

4.  Service Parts/Inventory Management:

  • Orders warranty parts for jobs completed and tracks status of these as necessary to meet customer expectations

5. Reporting/Administration:

  • Prepares and submits the daily summary report of jobs logged and scheduled twice daily by 11:45 am and 4 pm
  • Submits the daily list of all service invoices posted and exported by 4:45 pm
  • Submits a list of outstanding quotes for jobs every Thursday at 4:30 pm
  • Reviews the Apple Report Metrics with Service Manager to determine the department’s performance

 

6. Customer Satisfaction:

  • Ensures customer satisfaction surveys are completed
  • Responds to internal customers on queries in accordance with the SLA

 

QUALIFICATIONS/SKILLS:

  • Bachelor’s Degree in Business Administration is preferable
  • Project Management skills and experience is an asset
  • Experience in IT Industry
